Policy: Room Reservation Priority

Kirby Student Center follows a priority scheduling process for use of event space and meeting rooms during the academic year. Our goal is to accommodate UMD Registered Student Organizations, Campus Life Programs and UMD Departments with meeting or event space, while also generating revenue from external customers. Kirby Student Center reserves the right to confirm or deny any reservation request.


PRIORITY 1:

Annual events are defined as those that recur annually, draw large crowds, and typically include (but not limited to) award ceremonies, orientation, banquets, symposiums, training, and student recruitment. Weekly/recurring meetings or events do not fall within these guidelines.

Annual events are those planned in the Griggs Center (UMD Departments only), Rafters, Garden Room, Ballroom or on the Kirby Terrace. This includes those events planned by UMD Departments, Registered Student Organizations/Campus Life Programs, Chancellor’s Office, and Kirby Program Board; Kirby Student Center planned or sponsored events; and external events*.

(Priority 1 reservation requests can be submitted 12-18 months in advance, once the current event has taken place. To request space, complete and submit the Annual Large Events Request Form. Please note that submitting a form does not guarantee availability.)

*External events are scheduled on a case by case basis and dependent on whether there was an internal annual UMD event planned on that date/day the previous year. If there is a conflict, Kirby Student Center will work with the department/registered student organization/campus life program to determine if they still intend to have their event on that date.


PRIORITY 2:
Non-annual events or meetings planned by Registered Student Organizations and Campus Life Programs.

Priority 2 reservation requests open on September 15 for Spring Semester events and February 15 for Fall Semester events. These requests must be made online at mymazevo.com.


PRIORITY 3:
UMD Department non-annual events or meetings.

Priority 3 reservation requests open on October 1 for Spring Semester events and March 1 for Fall Semester events. These requests must be made online at mymazevo.com.

After October 15 and March 15, the priority scheduling process is no longer in effect. At that time, reservation requests will be taken on a first-come, first-served basis, including external events.
