Policy: Additional Event Fees

Fees will be incurred for the following reservation requests in Kirby Student Center: no-shows, room set up changes and reservation requests outside of standard hours.

 


 

Room Setup Changes:

  • A $75 fee will be incurred for requests to change or add to the default setup of Lakeview Room and Griggs Center. Please note that changes to room setup are limited by each space; we will not remove tables. If furniture is moved without prior request or approval, the fee still applies.

 


 

Tech Fees:

A fee of $20/hr will be charged for events in the Kirby Ballroom and Kirby Rafters which require a technician to be present for the duration of the reservation.  Availability is not guaranteed and must be requested with your reservation in Mazevo.

 


 

Terrace Set Up Fees:

UMD Departments and external, non-UMD guests who reserve the Kirby Terrace and request any furnishings from Sports Facilities and Event Services (FM Events) will incur an additional cost for rental and labor associated. Kirby Student Center will provide an estimate of cost at time of booking or once set up details are known. 

 


 

Fees for Events Outside of Standard Hours During Academic Breaks

UMD Departments: Reservation requests for the Ballroom, Rafters, Griggs Center, Kirby Lounge or Kirby Terrace outside of Kirby’s standard hours during academic breaks and in the summer are subject to approval and will be required to pay the external rental fee of the space (furniture and set up fees for the Terrace is in addition).  A minimum of a two hour reservation is required for weeknights and a five hour reservation for weekends. Before a reservation is approved, Kirby will determine if staffing is available. Reservation requests outside of standard hours during academic breaks are limited to the Ballroom, Rafters, Griggs Center, Kirby Lounge and Kirby Terrace only. Use of other Kirby spaces are subject to approval and related fees.

External, non-UMD groups: Reservations requested outside of standard hours during academic breaks and the summer require approval.  Reservations will only be considered for full day rentals (5 hours or more) and must take place in the Ballroom, Rafters, Griggs Center, Kirby Terrace or Kirby Lounge (either standalone or combined with other meeting rooms). Additional fees for staffing may apply.

Kirby does not consider reservations outside of standard hours during the academic year for UMD departments, student organizations and external, non UMD guests.

 


 

UMD Departments & Student Organizations: External Rates Apply When Charging Admission or Registration Fee

When a UMD department charges an admission or registration fee to attend or exhibit at an event in Kirby Student Center, the reservable space is no longer discounted or waived and the external rental rate applies.  

When a Registered Student Organization or Campus Life Program charges an admission or registration fee to attend or exhibit at an event in Kirby Student Center Ballroom or Rafters, the reservable space fee is no longer waived and a discounted rental rate applies instead.

 


 

Food Truck Fees

Food truck events are an option for UMD departments and Campus Life Programs with approval from Kirby Student Center, the CLP department advisor, and in conjunction with a co-sponsorship from Kirby Program Board.  At this time, registered student organizations may not hold food truck events.  If a UMD department would like to have a food truck on campus for an event, approvals and documentation are required as noted below.  Please allow a minimum of 6 weeks to process paperwork:

  • Food truck events are to be coordinated with Sports Facilities and Event Services and held on Ordean Court (exceptions require approval from Sports Facilities & Event Services)
  • Written (email) approval from Transportation and Parking Services and Sports Facilities & Event Services,
  • Food truck paperwork is required and is the responsibility of the UMD department or student organization with guidance from Sports Facilities & Event Services
  • A food permit fee of $70 is payable to Kirby Student Center via EFS as Kirby holds and pays for the annual permit
