Kirby Student Center offers Registered Student Organizations, Campus Life Programs, and UMD campus departments the opportunity to book spaces for free or at a discounted rate as noted on our Facilities and Rate Sheet. Reservations are not accepted outside of standard hours during the academic year. UMD departments and external groups that book outside of standard hours during academic breaks and in the summer are subject to paying the external rate and following guidelines as noted here. Certain criteria must be met when making a reservation as noted below.
Reservations Planned by Student Organizations
Kirby Student Center offers meeting rooms and event spaces at no charge to Registered Student Organizations and Campus Life Programs during Kirby Student Center’s standard hours during the academic year. If a registration or admission fee is charged for events or exhibitors planned in the Ballroom, Rafters, Griggs Center or Kirby Terrace (or any other Kirby space), the student organization will be charged a discounted rate for use of the event space.
A student organization planned reservation must meet the following criteria to benefit from the free or discounted room rental rates:
- The event is booked by a student representative of the student organization, not the advisor.
- The event is planned and implemented by the student organization, including all communication with Kirby Student Center and other University partners.
- The event is staffed by the student organization
If a student organization is co-sponsoring an event with a non-University organization(s), additional paperwork is required for use of space, and may include at a minimum, a Facility Use Agreement, Food Truck or Exhibitor Agreement, and a certificate of liability insurance. Additional costs may apply for these types of events. Event staffing levels will be considered in compliance with the Event Liability and Staffing Framework policy. Contact [email protected] at least 4-6 weeks in advance to allow time to process the paperwork and inquire about staffing requirements and any related fees.
Reservations Planned by UMD Departments
Kirby Student Center offers meeting rooms at no charge to UMD campus departments during Kirby Student Center’s standard hours during the academic year (for events outside standard hours during breaks, advance approval and additional fees apply). Event spaces including the Ballroom, Rafters, and the Lounge are discounted (the Lounge is only reservable during academic breaks). If a registration or admission fee is charged for events or exhibitors, the campus department will be charged the external rate for use of the event space (even if that space is typically free to use).
A department planned reservation must meet the following criteria to benefit from the free or discounted room rental rates:
- The event is booked by the UMD department
- The event is planned and implemented by the UMD department, including all communication with Kirby Student Center and other University partners.
- The event is staffed by the UMD department
- If a fee applies, the reservation is paid for by the UMD department via EFS
- Faculty, staff and advisors cannot book space on behalf of student organizations or on behalf of external groups.
If a UMD department is co-sponsoring an event with a non-University organization(s), additional paperwork is required for use of space, and may include at a minimum, a Facility Use Agreement, Speaker Agreement, Food Truck or Exhibitor Agreement, and a certificate of liability insurance.
